Create Notification List
- You can only create and edit lists
for DoDAACs for which you have been authorized. Ensure your EDA
POC has an accurate list of required DoDAACs. Contact your EDA
POC for assistance.
- Step 1:
Log into EDA (using proper
credentials - Username/Password or Certificate)

- Step 2:
Click Contract Load Notification link on the EDA
Document Selection Screen.
- (If link not present, the
Contract Load Notification Role is not authorized. To request
contract load notification capability, contact your EDA POC)

- Step 3:
Enter the CONTRACT NUMBER (without
dashes)
- For BASE contract - leave
DELIVERY ORDER blank
- (If error occurs, user is
not authorized to specific DoDAAC. Contact your EDA POC for assistance)

- Option:
Create a single list for all contract activity
- Check "single list" check box
to use the contract notification list for all subsequent contract
activity.
- E-mail addresses in the list will be notified
automatically when EDA loads modifications or delivery orders
associated with the base contract.

- Step 4:
Enter DELIVERY ORDER (if
applicable)
- Create a separate list for each Delivery
Order (to assist, a copy option is available)

- E-mail addresses in the list will be notified
automatically when EDA loads the Delivery Order.

- Option:
If a single notification list for the contract has been created,
click "A single notification list already exists"
link to view or modify the single list. You may want to maintain
a single list rather than separate list for each delivery order.

- Note:
If you create delivery order based lists, make sure that any
e-mail addresses you add are not already in the single list at
the contract level. Failure to do may cause duplicate delivery
order information to be included in contract load notification
messages.
- Step 5:
Click View List
- If the contract does not yet exist on
EDA, you will be prompted to confirm that you still want to create
a list anyway. Verify entry, if valid, Click Continue.

- Step 6:
Enter line items

- To add an entry, use the next available
line.

- E-Mail Address (Carefully verify entry , must be a valid
e-mail address),
- First Name,
- Last Name,
- Organization
- If the list already exits,
you will see the current entries for E-Mail Address, First Name,
Last Name and Organization. You can add or update these as necessary.

- The First Name, Last Name and Organization are optional,
but recommended as they help distinguish/identify an individual.

- Additional blank entry rows are added
as e-mail address boxes are used.

- A single e-mail address can be on more
than one list. EDA recognizes this situation and gathers all
contract information into a single e-mail for a given day's load
activity so as not to flood the recipient with e-mail messages.

- Option:
Click column headings (hyperlinks
at the top of each column labeled E-Mail Address, First Name,
Last Name and Organization) to
sort the list by a particular field. If the column heading is
not a hyperlink, then the list is already sorted by field.

- Step 7:
Click Submit to create notification list.
- At the creation of EVERY list, a welcome
notification message is sent to all e-mail addresses. The
welcome message accomplishes two things:
- It alerts the recipient that they have
been added to a contract load notification list for a specific
contract and
- More importantly, it verifies the e-mail
addresses entries on behalf of the user. If an e-mail address
is miskeyed or invalid, the e-mail will bounce/reflect to the
user who entered the e-mail address on the list so they may validate
the target e-mail address and correct or delete from the list
within EDA as required.
Option:
To remove an entry from the list, use the drop down box near
the bottom of the page. Select the e-mail address you want to
remove, then click Delete Addressee.
- Option:
Consolidate preexisting delivery order addresses into the contract
based notification list.
- If the "create single list"
for all contract activity option has
been selected and delivery order based notification list(s) already
exist, a message indicating the number of preexisting delivery
order based notification lists will appear.

- Click the numeric link in the message
to view the delivery order list.
- Click "Contract" link to view
each delivery order based notification list. Consolidate addresses
into the contract notification list where applicable.
To notify the last user to update the notification list. Click
"Last Updated By" e-mail link to launch e-mail message.

- Note:
Notification lists may be used by more than one individual or
community. Contact the person who last updated the
notification list before updating/deleting addresses by clicking
on the "There are x notification lists for this contract"
link. Then click the "Last Updated by" name link to
view their account information.
EDA will attempt to notify each e-mail
address on every list when contract documents are loaded into
EDA. The notification messages
are sent automatically when the document is loaded.
