Travel expenses and geographical distances are easily overcome with CIT's Web Collaboration Services. Web Collaboration is a tool that provides rich media communication for instant virtual informal and formal meetings with colleagues or collaborators across the globe. 

WebEx international call in platform:

  1. Each WebEx session is provided 2 toll free numbers specified for both (US/Canada)
  2. International callers can also dial the toll-free number with the 1-877 exchange; however there are fees applicable (calling restrictions) to using the US/Canada toll free number for all other Countries other than US and Canada.
  3. It is recommended that international participants dial-in using the Global call-in numbers provided by WebEx audio.

The Purpose of this SOP host international call-in numbers for all WebEx meeting Centers:

Personal Room

At-a-glance, the WebEx host can view their Personal Room summary, including both the toll-free numbers for US and Canada as well as, Global call-in numbers associated with their personal meeting room.

Tips: If hosts want to send a personal meeting invitation to an international dial-in participant the host can access the list of number by clicking on the link “Global call-in numbers” to access the international dial in numbers and provide the toll-free number that is associated with their country/region.

How to create a WebEx meeting with international dial in capabilities using the Personal Meeting Room:

  1. Open your web browser and go to: https://nih.webex.com
  2. Log-in with your NIH credentials
  3. Once you have successfully logged
  4. Select the “My WebEx” tab
  5.  In the upper right of the summery select “Invite”

  6. Host personal room
  7. Once the invitation has been launched, create the personal message, add the participant(s) email address and then press “Invite by Email”
  8. In the PersoIn the Personal Meeting Room session under the “Quick Start” tab and click on the “Connect to Audio” icon will expand the “Audio Connection” options.

  1. The “Call Me” option (for hosts only) provides a drop-down list of country codes applicable to the hosts country and or region.

  2.  The “I Will Call In” allows all attendees to dial-in toll free to join the conference. Additionally, all international callers can click the “All global call-in numbers” and search for their country’s toll-free number; As seen below:

Meeting Center

Enabling international dialing capabilities for participants in Meeting Center. Access the “Host a Meeting” in the drop down menu to the lift you’re your WebEx host account.

  1. Select the “Host a Meeting” dropdown
        a. Click the “Schedule a Meeting” link
        b. Begin filling in your meeting information
        c. Note: pay close attention to “Audio conference: WebEx Audio line item, once you reach this portion of the meeting invitation.

  3. Under the Audio Conference line item select the link: “Change audio conference”, by default the audio conference settings will look like the image below when you click on the link.
  4.  Click to enable “Display global call-in numbers”
  5.  Click “ok” when done configuring the audio conference portion (once the host clicks ok it will take them back to the “schedule a meeting” screen)

  6. Next, continue configuring the meeting invitation, review details.
  7. Final, press the “Schedule Meeting” button or the “Start” button.
 

Training Center

  1. Select the “Host a Session” dropdown
        a. Click the “Schedule Training” link
        b. Begin filling in your meeting information
        c. Note: pay close attention to “Audio conference: WebEx Audio line item, once you reach this portion of the meeting invitation.

  3. Under the “Schedule a Training Session” page complete the required fields with all the pectinate information. Under the “Audio Conference Settings” section to ensure global calling is enabled “click” the box “Display global call-in numbers” to enable international capabilities.

  5. Continue completing the form as normal.

Event Center

  1. Select the “Host a Session” dropdown
        a. Click the “Schedule an Event” link
        b. Begin filling in your meeting information
        c. Note: pay close attention to “Audio conference: WebEx Audio line item, once you reach this portion of the meeting invitation.
