NIH Login - Coming This Fall

On September 13, 2010, the NIH Web Meeting system began using NIH Login. This means that Web Meeting users no longer have a Connect-specific username and password, but instead use a federated username and password.

The goal of NIH’s Federated Identity service is to give a person the ability to use the same user name, password, or other personal identification to access multiple applications or data sources securely and seamlessly.

For NIH and HHS users, the federated username and password is your computer login.

For non-NIH users, the federated username and password is your institutional login if your institution is federated with NIH. If your institution is not federated with NIH, your federated login is a NIH External account.

The NIH External Directory is where a separate account is created for each outside NIH collaborator. This option (NIH External account creation) for collaboration is short-term until the collaborator’s institution/university/college has integrated their directory with NIH’s Federated Identity solution, if at all applicable.

How will the transition occur?

NIH users were moved to NIH Login first on September 13. Non-NIH users will be moved to NIH Login through either federation or the NIH External directory in the following two months.

Users with a nih.gov email address: On September 13, 2010 all Web Meeting users who previously logged into Connect with an NIH email address (for example: doej@mail.nih.gov) had their usernames updated to their NIH usernames (for example: doej) and passwords are no longer be stored in the Web Meeting system itself. As of that time, all NIH users automatically have participant-level accounts on the system, so you are able to invite them to your meeting from within the system without having to go through the non-billable account request process. Meeting permissions were unaffected by this change.

External users without nih.gov email addresses who have a Federated Account or an NIH External Account: On September 13, 2010 users who already possess a Federated Login should select the “Federated Login” option from the Connect Login page, and enter their credentials to login to the Web Meeting service. If your Connect account is not associated with your federated account, you will need to contact the NIH IT Service Desk to have your Connect username updated.

List of Federated Institutions

Grace period: There is a grace period from September 13, 2010 through November 30, 2010 in which users not currently using a nih.gov email address can still use their current Connect logins. This grace period is in place to ensure that current, legitimate users are not denied access during the transition, and that NIH External Accounts can be provisioned for non-NIH users who do not have access to a Federated user account.

Note: Immediately after the cut-over on September 13th, new Web Meeting users who do not possess a federated login need to be sponsored for an NIH External account.

The NIH External Directory is where a separate account is created for each outside NIH collaborator. This option (NIH External account creation) for collaboration is short-term until the collaborator’s institution/university/college has integrated their directory with NIH’s Federated Identity solution, if at all applicable.

What is an NIH External Account?

The NIH External Directory Service allows non-NIH users to have secure and authenticated access to NIH data. Sponsors for external collaborators request “projects” via the Web and then IC project owners work with CIT to provide an account with specific permissions and tracking of service usage.

There is no charge for an NIH External Account, however a Service Level Agreement (SLA) must be signed with the CIT Integrated Service Center (ISC) and a project must be set up to hold the accounts requested by a sponsor.

How do I sponsor NIH External accounts?

  • Submit a request for a new project: https://external.cit.nih.gov/newProject.aspx
  • Obtain and read the SLA. Pay particularly close attention to section 4 “Customer Responsibilities.”
  • Fill in the following information:
    • Your IC and Branch names on Page 1
    • All fields within Appendix B
    • Sign Appendix B
  • Fax the completed document to ADM at 301-451-5744.
  • An email will be received by the “Project Owners” that you assigned in the SLA, verifying that the project has been set up and made ready to accept users.
  • To add accounts to your project, submit a spreadsheet for “bulk” additions, or add individual accounts using the NIH External account web page. Specific instructions for adding accounts will be sent to the “Project Owners” you assigned in the SLA.

Why are we doing this?

CIT is implementing this change to comply with NIH security policies and procedures and to provide a safe and responsible service to our community. Additionally, the login change addresses customer requests to eliminate the Connect-specific username and password. With NIH Login, users do not have to remember a separate username and password for Connect.

What actions do I need to take?

The NIH Web Meeting team needs to know your federated username.

You can determine your username by going here.

Once you know your federated username, notify the Web Meeting team, who will update your account, wait for you to confirm access, and then finalize your account.

If you do not have an accepted account (federated, eRA, HHS, external):
  1. Notify your NIH point of contact or account sponsor that you need to be sponsored for a NIH External account.
  2. Direct your sponsor to the information about how to sponsor NIH External accounts (http://webcollaboration.nih.gov/nihLogin.aspx#external)
  3. Once your external account has been set up, notify the Web Meeting team that you have an external account, and include your external username. The team will update your account, wait for you to confirm access, and then finalize your account.

Email reminders started going out to users who have not yet migrated to a NIH, HHS, federated, or external account on October 21, 2010. If the email address on file with your NIH Web Meeting account is still valid, and you are not receiving these emails, then you need take no additional actions. Is my institution federated with NIH?

If your institution is federated with NIH, it will be listed at https://nihlogin.nih.gov/NIHfederation/ViewFederatedUniversities.aspx.

Who is my NIH point of contact or account sponsor?

Your NIH point of contact or account sponsor is the NIH person or office with whom you are collaborating, whose webinars you attend, or otherwise work with. You may be able to tell who originally requested your NIH Web Meeting account by taking the following steps:

  1. Log in at https://webmeeting.nih.gov with your current username and password.
  2. Click on "My Profile" at the top-right corner of the screen.
  3. Scroll down to see if you recognize the person or group listed by "Sponsor" and/or "Alternate POC".

If this does not help you, you will need to reach out to whoever at NIH you are working with to determine how to go about finding your sponsor. Neither CIT nor the NIH IT Service Desk would be able to tell you who your sponsor is.

Is this mandatory?

After November 30, 2010, you will lose access to the NIH Web Meeting system if you do not update your account. If you no longer need your account, let us know and we will close it.
